The Payroll Manager is responsible for the end-to-end ownership, accuracy, and compliance of payroll operations across a multi-state workforce of approximately 200 employees. This role serves as the sole internal subject matter expert for payroll, ensuring timely and accurate processing while driving process improvements, system optimization, and compliance excellence.
This position requires a highly experienced, self-sufficient professional who can operate independently, navigate ambiguity, and proactively identify and resolve issues. The ideal candidate brings deep multi-state payroll expertise, strong systems knowledge, and a continuous improvement mindset.
Role Scope
Sole owner of payroll for ~200 employees across multiple states and entities
Two alternating payroll cycles processed on a weekly cadence (continuous payroll environment)
Recently implemented payroll system requiring ongoing optimization and stabilization
Minimal internal payroll support; responsible for guiding backup resources as needed
Own and execute end-to-end payroll processing for two alternating payroll cycles (processed weekly) across salaried and hourly employees
Ensure payroll is processed accurately, timely, and in full compliance with all federal, state, and local regulations
Serve as the internal payroll subject matter expert, resolving complex payroll, tax, and compliance issues independently
Review and validate timekeeping, earnings, deductions, and benefit changes to ensure accurate payroll execution
Manage payroll-related activities including bonuses, commissions, off-cycle payments, and terminations
Ensure compliance with all multi-state payroll tax requirements, wage laws, and regulatory obligations
Lead payroll reconciliations and partner with Accounting on general ledger alignment
Manage garnishments, tax filings, and audit support (internal and external)
Oversee year-end processes including W-2 preparation, payroll reconciliations, and reporting
Act as system owner for the payroll platform, including configuration, troubleshooting, and optimization
Identify and resolve system or data issues related to recent payroll implementation
Partner with external payroll providers and vendors to resolve issues and enhance system functionality
Establish, document, and continuously improve payroll processes, procedures, and internal controls
Identify opportunities for automation and efficiency improvements
Partner closely with HR on employee lifecycle changes (hires, terminations, promotions, benefits)
Collaborate with Finance and Accounting on reporting, accruals, and reconciliations
Provide guidance and training to designated backup personnel to ensure payroll continuity
Respond to employee payroll-related inquiries with a high level of service and professionalism
Payroll is processed accurately and on time every week with minimal errors
Payroll system is stabilized and optimized following recent implementation
Compliance risks are proactively identified and mitigated
Payroll processes are documented, efficient, and scalable
Payroll operations run smoothly with effective backup support in place
Employees and leadership have strong confidence in payroll accuracy and support
High School diploma or equivalent required; Bachelor’s degree in Accounting, Finance or related field strongly preferred
7–10+ years of payroll experience, including multi-state payroll ownership
Demonstrated experience owning payroll end-to-end (not just processing)
Experience operating in a weekly or continuous payroll environment strongly preferred
Proven experience with payroll system implementations or major transitions
Strong knowledge of multi-state payroll tax compliance, wage laws, and regulations
CPP certification preferred
Experience with payroll systems such as Paycom (highly preferred), ADP, or similar
Advanced Microsoft Excel skills (reconciliations, data analysis, auditing)
Strong analytical, problem-solving, and organizational skills
Ability to work independently in a fast-paced, evolving environment
Working conditions are normal for an office / light manufacturing environment. Work may require occasional weekend and/or evening work.
Prolonged periods of sitting at a desk and working on a computer.
Ability to use standard office equipment such as computers, printers, copiers, and telephones.
Manual dexterity to input data accurately and efficiently.
Occasionally move or transport materials weighing up to 10–15 pounds (e.g., files, laptop, small office supplies).
Visual acuity to read and analyze data on a screen and in print.
Ability to concentrate and focus for extended periods, especially during payroll processing cycles.
